Privacy Policy

Effective 7 August 2026 Version 2.0
The short version

We collect what we need to run your subscription and keep the music playing: your business and contact details, your billing record, and how the platform is used at your locations. We do not sell or share personal information, we run no advertising, and we do not track you across other websites. Card numbers go straight to Stripe and never reach our systems.

2Scope

This policy covers radiob2b.com, the members area at members.radiob2b.com, and our mobile applications. RadioB2B is a service for businesses, so most of what we hold is business contact information rather than information about people's private lives.

RadioPro LLC is the controller for every RadioB2B regional store, so the same company decides how your information is handled wherever you subscribe. Each region publishes its own notice reflecting local law: the United Kingdom at radiob2b.co.uk, Europe at radiob2b.eu, and other territories at radiob2b.net. If you subscribed through one of those, read its notice alongside this one. Because we are established in the United States, information collected through any of our stores is processed in the United States, and section 9 explains the safeguards that apply.

radiopro.dev is also ours. radiopromusic.co.uk is operated by RadioPRO Ltd, a separate company, and has its own policy.

3Information we collect

Information you give us

  • Account and business details: your name, business name, email address, telephone number, business type, and the addresses of the locations you register.
  • Billing record: the plan you chose, amounts charged, invoice history, and a payment token plus the last four digits and expiry supplied by Stripe.
  • Content you upload: recorded announcements and promotional audio, and the schedules you build.
  • Support messages: what you send us by email or through the contact form.

Information we collect automatically

  • Server and security logs: IP address, browser and device type, operating system, referring page, pages requested, and date and time. These come from our hosting and content delivery layer and are used to run the service and defend it from abuse.
  • Service usage: which stations and zones were played at which locations, when playback started and stopped, and which staff account performed an action. We use this for the reporting features in your dashboard, for support, and for licence administration.

4What we do not do

  • We do not sell personal information, and we do not share it for cross-context behavioural advertising, as those terms are used in United States state privacy laws.
  • We do not run advertising on our sites and we do not use advertising or analytics networks that profile you across other websites.
  • We do not receive or store full payment card numbers. Card details are entered directly into Stripe.
  • We do not ask for your password by email, and you should never send it to us.

5How we use information

  • To provide the service: authenticate you, stream the catalog, run your schedules, and issue and verify your Music License Certificate.
  • To take payment, issue invoices and manage renewals and cancellations.
  • To provide support and respond to what you ask us.
  • To send service messages, such as renewal reminders, billing notices, security alerts and material changes to our terms. You cannot opt out of these while you hold an account, because they are part of the service.
  • To send marketing email, only where you have asked for it or where the law otherwise permits it for an existing business customer. Every marketing message has an unsubscribe link.
  • To keep the service secure, investigate misuse, and enforce our terms.
  • To meet legal, tax and accounting obligations, and to establish or defend legal claims, including responding to enquiries about the validity of a Certificate.
  • To understand which features are used, in aggregate, so we can improve the platform.

6Legal bases (UK and EU)

If the UK GDPR or EU GDPR applies to you, our legal bases are:

PurposeLegal basis
Providing the service and taking paymentPerformance of a contract with you
Service and security messagesPerformance of a contract, and our legitimate interest in a secure service
Security, abuse prevention and enforcementLegitimate interests
Product improvement in aggregateLegitimate interests

7Cookies and local storage

Change your choice at any time

Use the link in the footer of any page. Withdrawing permission is as easy as giving it, and takes effect immediately.

Nothing other than strictly necessary storage is set until you have made a choice. We ask once, record what you decided and when, and ask again after twelve months or if we change what we use. Closing the panel without choosing is treated as a refusal, never as consent. If your browser sends a Global Privacy Control signal, we record an opt out automatically and do not show the panel at all.

The marketing site stores two values in your browser's local storage: rb2b_consent, which holds your privacy choice, its timestamp and the version of this notice, and rb2b_a11y, which remembers any accessibility settings you turn on. Both stay in your browser and are never sent to us. Clearing your browser storage removes them.

We use no advertising or analytics cookies on this site today. The consent panel still offers analytics and marketing categories so that your preference is on record and can be applied before anything of that kind would ever load.

The members area sets strictly necessary cookies to keep you signed in and to protect forms against cross-site request forgery. Our content delivery and security provider may set a cookie to distinguish genuine visitors from automated traffic. Stripe sets cookies on its own checkout and fraud prevention systems, governed by Stripe's privacy policy.

You can block or delete cookies in your browser. Blocking strictly necessary cookies will stop the members area from working.

We do not currently respond to browser Do Not Track signals, because there is no common standard for them. We do honour Global Privacy Control signals as an opt out request where applicable, although we do not sell or share personal information in any event.

8Who we share it with

We share personal information only with service providers who process it on our instructions, and only as far as they need it:

RecipientPurpose
StripePayment processing, subscription billing and fraud prevention
Hosting and storage providersRunning the platform and storing your content
Content delivery and security providerServing the sites and blocking abusive traffic
Transactional email providerSending account, billing and support email
Professional advisersAccounting, audit and legal advice

We also disclose information where we must: to comply with law or a valid legal request, to enforce our terms, to protect our rights or someone's safety, and to a buyer or successor if our business is sold or reorganised, in which case we will tell you.

For a current list of our processors, write to [email protected].

9International transfers

We are based in the United States and our systems and providers are located mainly in the United States and the United Kingdom. If you are in the United Kingdom or the European Economic Area, your information may be transferred to the United States, which has not received an adequacy decision covering every transfer.

Where such a transfer happens we rely on appropriate safeguards, normally the UK International Data Transfer Addendum or the European Commission's Standard Contractual Clauses, together with supplementary measures where needed. You may request a copy of the safeguards we use.

10How long we keep it

CategoryRetention
Account and business detailsWhile your account is active, then up to 24 months
Billing and invoice recordsSeven years, to meet tax and accounting rules
Certificate recordsSeven years, so that past licence status can be verified
Uploaded announcementsWhile your account is active, then up to 90 days
Service usage logsUp to 24 months
Server and security logsUp to 12 months
Support correspondenceUp to 36 months after the matter closes

We keep information longer where we need it for a legal claim or where the law requires it.

11Security

We use technical and organisational measures appropriate to the risk, including encryption in transit over HTTPS, hashed passwords, access controls limiting staff access to what their role needs, and a payment flow that keeps card data with Stripe rather than on our systems.

No system is perfectly secure. If a breach affects your personal information and the law requires it, we will notify you and the relevant regulator within the applicable deadline.

12US state privacy rights

If you live in a state with a comprehensive privacy law, including California, Colorado, Connecticut, Virginia, Utah, Texas and Oregon, you have some or all of the following rights, depending on your state:

  • Know and access. Ask what personal information we hold about you, where it came from, why we process it, and who we disclose it to.
  • Delete. Ask us to delete personal information, subject to exceptions such as records we must keep for tax or legal reasons.
  • Correct. Ask us to fix information that is inaccurate.
  • Portability. Receive a copy in a portable format.
  • Opt out of sale, sharing and targeted advertising. We do none of these, so there is nothing to opt out of, but the right exists and you may exercise it.
  • Limit use of sensitive personal information. We do not collect sensitive personal information as defined by those laws.
  • Non-discrimination. We will not deny you service, charge a different price, or give you a lower quality of service for exercising a right.
  • Appeal. If we refuse a request, you may appeal by replying to our decision. We will respond with our reasoning.

To exercise a right, email [email protected] with the request and enough detail for us to identify your account. We will verify you against information we already hold and will never ask for your password. We respond within 45 days and may extend once by a further 45 days, telling you if we do. An authorised agent may act for you with written permission and we may ask you to confirm it.

California residents may also request the categories of personal information we disclosed for a business purpose in the preceding 12 months. Those categories are identifiers, commercial information, and internet or network activity, disclosed to the recipients in section 8.

13UK and EU rights

If the UK GDPR or EU GDPR applies to you, you have the right to access, rectify and erase your personal data, to restrict or object to processing, to data portability, and to withdraw consent at any time where we rely on it. Withdrawing consent does not affect processing carried out before the withdrawal.

You also have the right to object to processing based on our legitimate interests, and to complain to a supervisory authority. In the United Kingdom that is the Information Commissioner's Office at ico.org.uk. In the EEA it is the authority for your country. We would appreciate the chance to address your concern first.

We do not use your personal information for automated decision making or profiling that produces legal or similarly significant effects.

14Children

The service is sold to businesses and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, contact us and we will delete it.

15Changes

We may update this policy. The effective date at the top shows when it last changed. If a change materially affects how we handle your information, we will tell you by email to the address on your account, or by a prominent notice on the site, before it takes effect.
